Uploading a .csv file is an efficient way for platform users with an admin account to quickly import a large amount of student data. When formatted correctly, all of your student data is organized and ready to go in minutes.
Note: This feature is not available for teacher and student accounts.
Setting up Your CSV File
- Enter your student data into a spreadsheet, using this <sample .csv file> to ensure proper formatting.
There are columns for the following data:- Username
- Email address
- Last name
- First name
- Password
- Send invitation
- Follow these recommendations to optimize your data and prevent errors:
- Enter a unique email address for each student. Use a school-provided email address when available. Only enter usernames when students don't have an email address. Using emails instead of usernames allows for a more seamless login experience for students and eases verification and communication.
- Add a graduation year to the lastName field using the format "LastName Year" (e.g. Smith 2027) so your students are tagged and can be organized by grade.
- Assign each student a default password (e.g., Student123!). Setting a password in advance ensures that everyone can log in at the start.
-
Set the sendInvite field to "no" when using default passwords.
- Exception: In rare cases you may find it necessary to send invites rather than set default passwords, such as when generating unique passwords for exceedingly long student lists isn’t possible, or when giving all users the same default password is a security risk. In such cases, set the sendInvite field to “yes" and do not provide passwords. Students will need to open the invite sent to their inbox and create a password for their account before they attempt to log in.
- Save your file as a .csv and upload the file. You should see the file name appear once the file has uploaded successfully.
- Select Import to begin the import process.
- When the import is complete, you’ll be asked if you want to generate login letters. These are PDFs with account information you can send to students via email or hard copy. You can close the window if you do not wish to generate the letters.
- At the end of the process, make sure you’re on the Users and Groups > Students screen where you can see all the students for the selected school. Note: You may need to refresh your screen to view your newly imported students.
Summary
By using a .csv to import, your student lists will be added to the platform in minutes. Once imported, you’ll be able to group and assign students to schools and teachers and set them up with the lessons they need.
